The Office Assistant is responsible for greeting visitors, directing calls, assisting applicants, helping employees and completing varied clerical assignments. Incumbent will also serve as the single point of contact for security, vending, custodial, and maintenance issues by coordinating efforts with appropriate vendor teams. This position requires a strong sense of confidentiality, organizational, multitasking, prioritization and interpersonal skills as well as time management and solid Microsoft Office knowledge.

In this role, you will:

  • Assist Human Resources with the Recruiting and onboarding processes. Enter data, provide daily/monthly reports, make phone calls to applicants and new hires, schedule interviews, assist with special projects and file internal documents as assigned.
  • Greet visitors and announce their arrival to the appropriate person. Answer multi-line switchboard and transfer calls to the appropriate person/department. Relay all emergency messages. Manage visitor / vendor log books and badges.
  • Serve as the single point of contact for security, vending, custodial, and maintenance issues by coordinating and supervising efforts with appropriate vendor teams. Report facility related issues to Corporate Facilities Manager / Center Leadership team.
  • Prepare labels, send, receive and distribute mail and other deliveries as needed. Process and distribute daily office supply shipments.
  • Create, maintain and distribute spreadsheets, presentations and other documents as needed.
  • Create and/or distribute correspondence and communications as requested.
  • Coordinate and execute site-wide events and special events for meetings and/or lunches for client needs.
  • Create and manage badge and key creation and tracking.


What you will need:

  • High school diploma
  • 6 to 12 months of relevant experience is preferred
  • Proven experience using Microsoft Office products.
  • Demonstrated strong verbal and written communicate skills.
  • Demonstrated organizational and follow up skills.
  • Demonstrated ability to effectively interact with all levels of the organization.
  • Demonstrated ability to handle multiple complex tasks simultaneously and accurately.
